
Creating & Performing a Production Run
Using Supply'd for production runs streamlines manufacturing, tracks progress, and ensures efficient resource use, while maintaining accurate inventory and reducing waste.
Creating & Performing a Production Run in Supply’d allows you to manage the step-by-step process of making a product - from preparation to completion. Each run is broken down into stages, where you can track ingredients, record progress, and ensure accurate stock control. This guide walks you through how to create a production run and perform each stage to keep your manufacturing process organised and efficient.
Before creating a production run, make sure the product exists as a Production Product. If it doesn’t, you’ll need to create it first.

The Production Page
Selecting Production in the main menu will open the Production page.

You'll see two tabs on this page:
Up Next
The Up Next tab shows Production Batches currently in production. The current stage of production for any batch is clearly indicated with colour coding for easy identification.
Completed
The Completed tab shows any completed batches.
Production Details
Clicking on a Production Batch will open a page showing all the details of that batch.



To open or close the sections on this form, click the little arrows to the right of the titles (as circled in red above).

Product Produced: The item to be, or is being, created in this batch.
Batch Code: The unique identifier for this production batch.
Scheduled Date: The date the batch is being, or will be, created.
Location: Production location.
Best Before: Best before date for this batch.
Batch Qty: The quantity to be produced.
Expected/Current Yield: The amount of items to be, or is currently being, produced in this batch.
Status: Current stage this batch is in. If the batch hasn’t started yet, it will display the first stage.
Sections:
Recipe: List of components consumed in the batch. You will also be able to auto-assign batches for these components.
Stage Instructions: The instructions for completing the current stage.
Labour Tracking: This will show who is assigned to the stage and the time taken to complete it. A timer is also included for accurate tracking.
Production Yield: This shows both the expected yield and the actual yield.
Production Fields & Notes: You will be able to view and update any custom fields and add any notes related to this production batch. 👉 These custom fields can be created in the Production Settings.
Actions

Clicking on the button will give you the extra option to Download Pick List.

This will download the Production Pick List with a detailed list of all ingredients and items required for a production batch or run. This pick list can be printed or saved as a PDF, making it easy for staff to gather the correct quantities from inventory before starting production.
This action is also useful for planning production-related purchases.

Ingredients shown in red indicate that there is not enough stock of that ingredient to complete the stage.
The button will stay grey until at least one item is selected. Once at least one item is selected, the button will turn green,
and become clickable.
Additional Options
Clicking the 3 dots in the top right will open a menu with additional options.

Smart Plan
Opens the Smart Production Plan form which uses Supply'd Intelligence to automatically generate production and supply plans that reflect customer orders, stock levels, and delivery schedules. It reduces manual entry, improves accuracy, and ensures you produce just the right amount - helping minimise waste and overproduction.

Import
The Import Production Batches feature allows you to quickly add multiple production batches to Supply’d using a CSV file. Instead of creating each batch manually, you can prepare all the required details in a file and upload it, saving time and reducing the chance of errors.

Download the template: Download the template to your computer by clicking
.
Complete the details: Complete the details in the downloaded template.
Import the completed file: Open the Import Production Batches form. Choose the file to upload and click Import.
Review details: Review the Production Batches list to ensure all batches are correctly imported and make edits if needed.
Export
Allows you to export the Production Batches list as a spreadsheet.

The details can be edited before importing and then imported into Supply’d, if desired.

Adding a Production Batch
Click Add +
Click Add + in the top right corner. The Add Production Batch form will show.


Product* [required field]
The product you would like to produce. Clicking on or typing in the field will bring up a list of your products to choose form.
For our example below, we will be selecting "CCC01 - Cookie Co - Choc Chip Cookies 20g x unit".



After selecting the product, additional fields will appear.



To open or close the sections on this form, click the little arrows to the right of the titles (as circled in red above).

Complete the fields in all the sections according to the guidelines in the following steps:

Complete the Allocation Section



Production Date* [required field]
The date the first stage of production will commence. Clicking this field will bring up a calendar where you can select the month, year and day.



Production Location* [required field]
The location where the product is being produced and will be subsequently stored in inventory on completion. Select from your list of location(s) from the drop-down menu.



Assigned To
The user(s) this production run associated to. Select from your list of users in the drop-down menu.

Complete the Batch Details


Batch Code* [required field]
The code for this batch, which will be automatically generated based on your settings.

Best Before
The expiry date for this batch. Clicking this field will open a calendar where you can select the day, month, and year. It will be pre-filled based on the production date and the product’s production settings. Click the X to remove the date.



Batch Qty
The number of batches to produce in this run. The expected yield will automatically update based on your selection.

Expected Yield
The expected yield for this batch. The batch quantity will automatically update based on your selection.

Total Size
The combined total size of all ingredients required for this batch. This field is automatically populated and cannot be edited.

Total Cost
The total cost to produce this batch. It will also include estimated labour costs if configured in the product's production settings. This field is automatically populated and cannot be edited.

For every production run, users must complete each stage of production in sequence - no stages can be skipped. All stages must be finalised, and once the run is marked as completed, the finished products are added to current stock and inventory. Many stages will have their own specific items or ingredients to work with.
Performing a Production Run
Recipe
The Recipe section shows you all the items required for the stage, allowing you to gather the ingredients to perform the first stage.

You can also download the Production Pick List with a detailed list of all ingredients and items required for a production batch or run. See Actions above for details.

In this example, at the "Dough" stage, these are the ingredients/components required to prepare the cookie dough.



Once this stage is finalised, all items required for the next stage will be displayed.

In this case, the second stage - "Baking" - doesn’t require any items, so none are displayed.



For the final stage of our cookie production - "Packaging" - cello bags are needed.



Assigning Batches for Production Components
You can manually assign batches for each of the components you are using for the production batch or choose to auto assign batches.

Auto Assign Batches will automatically assign batches to the order on a first in, first out (FIFO) basis. You can also configure batches to always be automatically assigned to a batch in your production settings.

Stage Instructions
Follow the instructions to complete the current stage of the production batch. The "Stage" name will vary depending on the stage the batch is at and how your production stages are named.

If you are tracking the time to complete this stage, open the Labour Tracking section. Select the user and start the timer at the beginning of this stage. (See step 5.)
Stop the timer once the stage has been completed.

In this example, the cookies are at the "Dough" stage, so says "Dough Instructions".



Labour Tracking
Tracking time spent on this stage of production.
Labour Tracking in Supply’d helps you measure the time and resources spent on each stage of production. This makes it easier to monitor efficiency, understand true production costs, and identify opportunities to improve processes.


User
Select the user from the drop-down menu. Click if you wish to add an additional user.

Time
Click the stopwatch on the right to start the timer. Click it again to stop. You can also manually enter the time if you prefer not to use the timer or are on a shared device. Enter the time in the format "H:MM:SS".

Complete the Production Yield
This is the actual yield achieved compared to the expected yield for this production run.



Actual Yield
The actual yield from this production run. Will be set as the expected yield until updated with the actual yield.

Expected Yield
The expected number to be produced in this production run. This field is automatically populated and cannot be edited.

Production Fields & Notes
Update any custom fields and add any relevant notes for this production batch.

Finalise the Stage
When the current stage is complete, click . Any inventory batches used in that stage will be consumed after finalising. The production batch will either be tagged for the next stage of production or, if this was the final stage of production, it will be marked as completed
and moved to the Completed list. Completed batches will be added to inventory ready to sell or consume.


You will be asked to confirm.


If there are and steps you have missed, such as, assigning batches or tracking labour, you will receive a warning about these after clicking .


Click Save Changes to save any changes made without finalising the stage.


Be sure to only finalise each stage once.
Finalising a stage in production will use up the required inventory. If you finalise the same stage more than once, such as after making an edit, it will deduct inventory again, which can cause duplicates and inaccurate stock levels.
To prevent this, only finalise each stage once. If you need to make changes afterward, use the Save Changes option instead. You can save as often as needed. Saving doesn’t affect inventory.
This lets you stay flexible during production while keeping your inventory accurate.

Once all stages are finalised - in our cookie example, Dough, Bake, and Packaging - the production batch will be marked as and displayed like this:




Additional Options Before Completion
Before finalising all stages, selecting a product from the Production Batches list and clicking the three dots on the right side of the page will open an additional menu.
Save Stage
Will save the current stage.
Finalise Stage
Will finalise the current stage. The production batch will either tagged with the next stage of production or, if this was the final stage of production, it marked as completed and moved to the Completed list.
Edit Production
Allows you to edit the production batch.

Print Label
Enables you to print the label for this product if you have a template set up for it.

Remove Production
Will remove the production batch. You will be asked to confirm.
Additional Options After Completion
After finalising all stages, selecting a product from the Production Batches list and clicking the three dots on the right side of the page will open an additional menu with fewer options than above.

Print Label
Enables you to print the label for this product if you have a template set up for it. See Printing Labels below for full details.
View

Inventory
Opens the Manage Stock page for the product, displaying all stock quantities and batch numbers.

Batch
Displays the batch details for the selected product.

Remove Production
Will remove the production batch. You will be asked to confirm.
If you delete a production run after it’s been completed, the batch will have already been added to inventory. In that case, you’ll need to manually adjust your inventory if needed.
Editing Production Batches
Select the product in the Production Batches list, click on the 3 dots on the right of the page, and select Edit Production. The Edit Production Batch page will show.

Edit any fields required in the same way as Adding a Production Batch above.
Click to apply changes.
Editing Stages After Finalisation
Editing is especially useful if you need to make changes after a stage has already been finalised.
To do this:
Open the Advanced section.
Select the Stage you want to edit from the drop-down menu.
Click
.
Select the item from the Production Batches list again and edit any fields required.
Click Save Changes (not
).
Repeat as required for any other stages or return to the stage you need.
It’s not recommended to change Batch Details once a production run has started. Any changes made after starting can disrupt inventory accuracy, as ingredients or materials may have already been consumed. It’s best to make any adjustments before the run begins to keep stock levels correct.
Printing Labels
Enables you to print the label for this product if you have a template set up for it.

Template* [required field]
Select the template to use to generate the label for this product from the drop-down.

Batch
Select the batch code from the drop-down to print on the labels. If you opened this from within a production run, the batch code for that run will appear first by default.
Copies* [required field]
Enter the number of labels to print.
Customisation
Fill out this section to include extra details on the label. If left blank, only the product name and barcode will be printed. For price labels, the product name, price, and barcode will be included by default.

Font* [required field]
The font you would like to use in this customisation. Select from the drop-down menu.
Barcode
Choose whether or not to include a barcode on the label. If selected, specify which barcode type to use.

Logo
The label to use for printing. Only applies to templates with utilise the logo_image.
Custom Text
Allows you to add your own text (maximum 20 characters). This option only applies to templates that utilise custom text.
