Creating & Performing a Production Run

Using Supply'd for production runs streamlines manufacturing, tracks progress, and ensures efficient resource use, while maintaining accurate inventory and reducing waste.

Creating & Performing a Production Run in Supply’d allows you to manage the step-by-step process of making a product - from preparation to completion. Each run is broken down into stages, where you can track ingredients, record progress, and ensure accurate stock control. This guide walks you through how to create a production run and perform each stage to keep your manufacturing process organised and efficient.

The Production Page

Selecting Production in the main menu will open the Production page.

You'll see two tabs on this page:

Up Next

The Up Next tab shows Production Batches currently in production. The current stage of production for any batch is clearly indicated with colour coding for easy identification.

Completed

The Completed tab shows any completed batches.


Production Details

Clicking on a Production Batch will open a page showing all the details of that batch.

  • Product Produced: The item to be, or is being, created in this batch.

  • Batch Code: The unique identifier for this production batch.

  • Scheduled Date: The date the batch is being, or will be, created.

  • Location: Production location.

  • Best Before: Best before date for this batch.

  • Batch Qty: The quantity to be produced.

  • Expected/Current Yield: The amount of items to be, or is currently being, produced in this batch.

  • Status: Current stage this batch is in. If the batch hasn’t started yet, it will display the first stage.

Sections:

  • Recipe: List of components consumed in the batch. You will also be able to auto-assign batches for these components.

  • Stage Instructions: The instructions for completing the current stage.

  • Labour Tracking: This will show who is assigned to the stage and the time taken to complete it. A timer is also included for accurate tracking.

  • Production Yield: This shows both the expected yield and the actual yield.

  • Production Fields & Notes: You will be able to view and update any custom fields and add any notes related to this production batch. 👉 These custom fields can be created in the Production Settings.

Actions

Selecting one or more items by checking the boxes next to those products, then clicking on the button will give you the extra options.

Download Pick List

This will download the Production Pick List with a detailed list of all ingredients and items required for a production batch or run. This pick list can be printed or saved as a PDF, making it easy for staff to gather the correct quantities from inventory before starting production.

This action is also useful for planning production-related purchases.

Export

Export Sub-Recipe Runs

If a product’s recipe includes sub-recipes, Export Sub-Recipe Runs will generate a spreadsheet listing all the sub-recipe products required before running production for the main product. The spreadsheet shows the quantities and yields needed, as well as the current stock levels of each sub-recipe.

This helps you decide whether you need to produce more sub-recipes or adjust quantities and yields before starting the main production run.


Export Production Runs

This option allows you to download a spreadsheet of your production runs. The exported file includes key details such as product names, quantities to be produced, ingredients, and production status. It’s useful for record-keeping, reviewing production plans, or sharing information with your team outside of Supply’d.


Additional Options

Clicking the 3 dots in the top right will open a menu with additional options.


Smart Plan

Opens the Smart Production Plan form which uses Supply'd Intelligence to automatically generate production and supply plans that reflect customer orders, stock levels, and delivery schedules. It reduces manual entry, improves accuracy, and ensures you produce just the right amount - helping minimise waste and overproduction.

Import

The Import Production Batches feature allows you to quickly add multiple production batches to Supply’d using a CSV file. Instead of creating each batch manually, you can prepare all the required details in a file and upload it, saving time and reducing the chance of errors.

Download the template: Download the template to your computer by clicking Download the template.

Complete the details: Complete the details in the downloaded template.

Import the completed file: Open the Import Production Batches form. Choose the file to upload and click Import.

Review details: Review the Production Batches list to ensure all batches are correctly imported and make edits if needed.


Export

Allows you to export the Production Batches list as a spreadsheet.

The details can be edited before importing and then imported into Supply’d, if desired.

Adding a Production Batch

Go to the Production Page

Select Production from the main menu. The Production Batches list will appear.

Click Add +

Click Add + in the top right corner.

The Add Production Batch form will show.

Product* [required field]

Enter or select the product you would like to produce. Clicking on or typing in the field will bring up a list of your products to choose form.

For our example below, we will be selecting "CCC01 - Cookie Co - Choc Chip Cookies 20g x unit".

After selecting the product, additional fields will appear.

Complete the sections as per the guidelines below:

Complete the Allocation Section

Production Date* [required field]

Select the date the first stage of production will commence. Clicking this field will bring up a calendar where you can select the month, year and day.

Production Location* [required field]

Select the location where the product is being produced and will be subsequently stored in inventory on completion.

Assigned To

Select the user(s) this production run associated to.

If no user is selected when creating a production run, the system will automatically display the name of the person currently logged in on the device during each production stage.

Complete the Batch Details

Batch Code* [required field]

The code for this batch, which will be automatically generated based on your settings.

Best Before

Select the expiry date for this batch. Clicking this field will open a calendar where you can select the day, month, and year. It will be pre-filled based on the production date and the product’s Production Settings. Click the X to remove the date, if required.

Batch Qty

Enter the number of batches to produce in this run. The expected yield will automatically update based on your selection.

Expected Yield

Enter the expected yield for this batch. The batch quantity will automatically update based on your selection.

If you have set a Min Yield and/or Max Yield in the Production Settings, the system will automatically adjust any number entered outside these limits to meet the minimum or maximum yield.

Total Size

The combined total size of all ingredients required for this batch. This field is automatically populated and cannot be edited.

Total Cost

The total cost to produce this batch. It will also include estimated labour costs if configured in the product's production settings. This field is automatically populated and cannot be edited.

Complete the Advanced Section

Current Stage* [required field]

This shows the current stage of the batch in production.

Notes

Enter any notes or comments you wish to add about this batch.

Save

Click to apply your settings and add this batch.

The batch will now appear in the Production Batches list.


Performing a Production Run

Go to the Production Page

Select Production from the main menu. The Production Batches list will appear.

Select the Production Batch

Select the product from the Production Batches list.

The batch details will open, ready to begin the first stage.

Recipe

The Recipe section shows you all the items required for the stage, allowing you to gather the ingredients to perform the first stage.

In this example, at the "Dough" stage, these are the ingredients/components required to prepare the cookie dough.

Once this stage is finalised, all items required for the next stage will be displayed.

In this case, the second stage - "Baking" - doesn’t require any items, so none are displayed.

For the final stage of our cookie production - "Packaging" - cello bags are needed.


Assigning Batches for Production Components

Manually Assigning Batches

You can manually assign batches for each of the components you are using for the production batch or choose to auto assign batches.

To assign a batch to each item individually, click . The Assign Batch form will appear.

  • Batch* [required field]: Click on the field to view a list of available batches for this item. Select the batch you want to use.

  • Batch Quantity* [required field]: Add the quantity of this batch you would like to use. If there is sufficient stock in the selected batch, the quantity will be automatically filled. If you wish to use a smaller amount, enter the desired quantity, click , and then repeat the process for any other batch(es) as needed.

Auto Assigning Batches

To automatically assign batches to the order on a first-in, first-out (FIFO) basis, click .

You can also configure batches to always be automatically assigned to a batch in your Production Settings.

Stage Instructions

Follow the instructions to complete the current stage of the production batch.

Labour Tracking

Tracks the time spent on this stage of production.

User

Select the user. Click if you wish to add an additional user.

Time

Click the stopwatch on the right to start the timer. Click it again to stop.

You can also manually enter the time if you prefer not to use the timer or are on a shared device. Enter the time in the format "H:MM:SS".

Complete the Production Yield

This is the actual yield achieved compared to the expected yield for this production run.

Actual Yield

Enter the actual yield from this production run. Until you update it, this value will also be used as the Expected Yield.

Expected Yield

This field shows the expected number of units to be produced in this production run. It is automatically populated and cannot be edited.

Production Fields & Notes

Complete any custom fields and add any relevant notes for this production batch.

Finalise the Stage

When the current stage is complete, click .

You will be asked to confirm.

If there are any steps you have missed, such as, assigning batches or tracking labour, you will receive a warning about these after clicking .

Note: If Enforce Batch Tracking is enabled in the Batch Coding section of your Production Settings, you will not be able to finalise this stage unless batches have been assigned to all items used in the production.

You can finalise the stage without including labour costs. However, the total cost of the production run will not be accurate if labour is omitted.

Any inventory batches used in that stage will be consumed after finalising. The production batch will either be tagged for the next stage of production or, if this was the final stage of production, it will be marked as completed and moved to the Completed list. Completed batches will be added to inventory ready to sell or consume.

If you need to save any changes to a stage without finalising it, click Save Changes. You can return to this stage later to continue or finalise it.

Complete Remaining Stages

Repeat steps 3 to 8 until all stages are completed.


Completed Batch Details

Once all stages are finalised - in our cookie example, Dough, Bake, and Packaging - the production batch will be marked as and displayed like this:

The top section displays details of the batch:

Batch Code

The unique identifier assigned to this batch during production. This helps track the batch through inventory, sales, and any recalls.

Actual Yield

The total number of units actually produced in this batch. This reflects the real output, which may differ from the expected yield due to production variations.

Total Cost of Goods

The total cost incurred to produce the batch, including ingredients, labour, and other production expenses. This gives a complete picture of the batch’s production cost.

Unit Cost of Goods

The cost per individual unit in this batch, calculated by dividing the Total Cost of Goods by the Actual Yield. This is useful for pricing, profitability analysis, and inventory valuation.

Location

The storage location or warehouse where the batch was produced. This helps track inventory and ensures correct stock management.

Best Before

The date by which the batch should be used or sold to ensure optimal quality and safety. This is critical for managing shelf life and expiry tracking.


Production Notes

Displays any custom field details and notes added during the production run. This may include special instructions, quality observations, deviations from the recipe, or internal comments recorded throughout the process.


Cost & Margin Summary

The Cost and Margin Summary provides a breakdown of the total production cost and shows how it compares to your selling price, helping you understand the profitability of the batch or product.


Stages Summary

The Stages Summary provides an overview of all stages within the production run and shows the status and key details for each stage.

It allows you to quickly see:

  • Each production stage.

  • Whether the stage is not started, in progress, or finalised.

  • Any costs or yields recorded at each stage.

  • The user completing each stage.

This helps ensure all stages are completed correctly and that costs and inventory have been properly allocated.


Additional Options Before Completion

Before finalising all stages, selecting a product from the Production Batches list and clicking the 3 dots on the top right will open an additional menu.

Save Stage

This will save the current stage, and is an alternative to clicking Save Stage at the bottom of the page.

Finalise Stage

An alternative to the button, clicking this will finalise the current stage.

  • If there are more stages, the production batch will be tagged with the next stage.

  • If this is the final stage, the batch will be marked as and moved to the Completed list.

Edit Production

Allows you to edit the production batch.

Enables you to print the label for this product if you have a template set up for it.

Remove Production

Will remove the production batch. You will be asked to confirm.

Additional Options After Completion

After finalising all stages, selecting a product from the Production Batches list and clicking the three dots on the right side of the page will open an additional menu with fewer options than above.

Enables you to print the label for this product if you have a template set up for it. See Printing Labels below for full details.

Inventory

Opens the Manage Stock page for the product, displaying all stock quantities and batch numbers.

Batch

Displays the batch details for the selected product.

Remove Production

Will remove the production batch. You will be asked to confirm.

Editing Production Batches

Prior to Completion

Select the product in the Production Runs list, click on the 3 dots on the top right, and select Edit Production.

The Edit Production Batch page will show.

Edit any fields required in the same way as Adding a Production Batch above.

Click to apply changes.


Editing Stages After Finalisation

Editing is especially useful if you need to make changes after a stage has already been finalised.

If you need to edit a stage after it has already been finalised.

Select the product in the Production Runs list, click on the 3 dots on the top right, and select Edit Production.

Go to the Advanced section.

Select the Stage you want to edit from the Current Stage.

Click .

Select the item from the Production Batches list again and edit any fields required.

Select the item from the Production Batches list again and edit any fields required.

Click Save Changes (not ).

Repeat as required for any other stages or return to the stage you need.

Printing Labels

To print labels for the product:

Select Print Label

Select the product in the Production Runs list, click on the 3 dots on the top right, and select Print Label.

Before completion:

For Completed Runs:

The Print Label form will open.

Complete the Form

Complete the Print Label form as follows:

Template* [required field]

Select the template to use to generate the label for this product.

Batch

Select the batch number to be included on the label. Select None to not include the batch number.

Copies* [required field]

Enter the number of labels you would like to print.


Customisation

Complete this section to optionally change the font or include extra information on the label.

If left blank, only the product name and barcode will be printed.

For price labels, the product name, price, and barcode are included by default.

Font* [required field]

Select the font you would like to use in this customisation.

Barcode

Select the barcode type you want to use on the label. Choose None to not include a barcode.

Logo

Select the logo to use on the label. Only applies to templates with utilise the logo_image.

Custom Text

Add any custom text you would like to include on the label (maximum 20 characters). This option only applies to templates that utilise custom text.

Click Print

Click .

The label will be generated, ready for printing.

Click the print icon in the top right to print your labels.


Filtering the Production Runs List

On the Production page, the 3 lines next to the 3 dots in the top-right corner let you filter the product list, while the magnifying glass allows you to search for specific items.

Clicking on the magnifying glass, you can search the Production Runs list by product name or brand.

Clicking the 3 lines opens the Filter Production form, giving you access to all available filtering options.

Product

Select a product, or products, to show only production runs for the selected product(s).

Department

Choose the department(s) you want to filter by to display only production runs assigned to the selected department(s).

Status

Select the status(es) that you would like to filter the list by.

Stage

Display runs at a particular production stage or stages.

Scheduled Date

View runs scheduled for a specific date or timeframe. Clicking on the field opens a calendar to choose a date or date range.

Click to set the date(s).

Assigned To

Select the user(s) to view runs assigned to them.

Batch

Enter a batch number to locate those specific batch.

Click to apply your selections and filter the Products list.
