Transferring Stock Between Locations/Warehouses

Supply’d stock transfers improve accuracy, ensure availability, and update locations in real time for streamlined operations.

Transfers in Supply’d can be done through the app or with a Supply'd handheld scanner. For details on performing transfers using a scanner, see the Stock Transfer (Scanner) document.

This guide provides step-by-step instructions for transferring stock from one location to another within the Supply'd platform. Following this process helps maintain accurate inventory levels and ensures all transfers are properly recorded.

Inventory - Transfers Page

Selecting Inventory from the main menu and then going to the Transfers tab, you will see a list of any transfers you have created.

The progress of each transfer is clearly shown using colour-coded status labels.

  • indicates a transfer order that has been started but not yet completed.

  • refers to a transfer order that has been voided and will not proceed.


Adding a Transfer

To add a transfer, click Add+ in the top right corner. The Add Transfer form will open.

Transfer From Warehouse

Choose the location you are transferring stock from.

Transfer To Warehouse

Choose the location you are transferring stock to.

Transfer Number

Automatically entered and is unique to this transfer. Transfer numbers all start with "T".

Once these details have been entered, additional fields will appear for you to add the products.

Product

Clicking on or typing in this field will bring up a list of your products to choose from.

Qty

Add the quantity to transfer.

Hovering over the number a pop-up will appear showing inventory numbers - Required, Available and On Hand.

If you don't have enough stock for the transfer, you'll see a yellow dot. Hovering over this field will display a warning message.


Additional Options for Items

Clicking on the 3 dots beside an item will open a menu.

Assign Batches

Opens the Assign Batches form enabling you to assign batch numbers to the item being transferred.

Click the three dots in the top right corner to remove assignments.

Remove Item

Will remove the item from the transfer.

Clicking the 3 dots in the top right corner will open a menu with additional options for the transfer.

Place Transfer

An alternative to the button at the bottom of the form.

Remove

Will remove the transfer.


Placing the Transfer

Once all the details have been completed, click .

The transfer will appear in the Transfers list with as its status.

Clicking on the transfer will open its detailed view.

While the transfer is still at the Order Placed stage, clicking the 3 dots in the top right will bring up this menu:

Download > Pick List

Downloads the Pick List in preparation for selecting the items to be transferred.

Mark As > Picked

Once the items have been picked, clicking this will mark the transfer as .

You will be asked to confirm.

Modify Transfer

Opens the Edit Transfer form where you can amend any details required.

Click to save the changes.

Cancel Transfer

Will cancel the transfer. You will be asked to confirm.


Receiving the Transfer

Once the transfer has been picked and sent to the transfer destination, for the transfer to be complete it must be Received at the Transfer To Warehouse location.

On the Inventory page, go to the Transfers tab and select the transfer you want to receive. Click the 3 dots in the top right corner and choose Receive Transfer.

Continue as explained in the Receiving Purchase Orders document.

While the receive is in progress, the status will appear as .

Once the receive is finalised, the transfer will be marked as .

Options in the 3 dot menu at this stage are:

Download > Pick List

Download the Pick List showing the items picked for this transfer.

Receives > Receive #

Lists the Receive number(s).
