Create quotes within Supply'd to easily generate, send and track quotes with ease. Convert quotes to sales orders with the click of a button.
Quotes in Supply’d let you provide potential customers with a detailed price estimate before confirming a sales order. They allow you to outline products, quantities, and pricing, giving your customers the chance to review and approve before the order is finalised. This helps streamline communication, reduce errors, and speed up the sales process.
Quotes are available to businesses on several of the paid plans.
Selecting Sales from the main menu will open the Sales page. Users that are set as a supplier will see 3 tabs.

Sales
Sales Orders your customers have placed with you.

Quotes
Quotes that have been generated for new business.
Standing
Standing Orders which are repeating orders for consistent order schedules.

This document will guide you through managing Quotes which are Quotes you have prepared for customers in Supply'd, including:
The Quotes Tab
Sales Page
Selecting Sales from the main menu opens the Sales page.
The Quotes tab on the Sales page in Supply’d displays all the sales quotes you’ve created for customers. Here, you can view, edit, or manage quotes before they’re converted into confirmed sales orders. Each quote shows key details such as the quote number, customer name, creation and expiry dates, status, and total amount.

Customers Page
Selecting Customers from the main menu opens the Customers page. Clicking on a customer will open their details.
The Quotes tab on a customer’s page in Supply’d shows all the quotes that have been created specifically for that customer. You can see each quote’s number, date, expiry, status, and total value. This tab makes it easy to track pending quotes, check which ones have been accepted, and manage or convert them into sales orders directly for that customer.

The information you see on this page can be customised to suit your personal preferences and needs.

Quote Statuses
Quote statuses will appear on the Quotes list in various colours for easy identification.
- The quote is being prepared but not yet completed.
- The quote has been prepared but not yet sent to the customer.
- The quote is in the process of being modified.
- The quote has been cancelled.
- A red dot beside the status indicates the quote has expired.
- If a quote has expired, it will also have
beside the status when opening the order.
Creating Quotes
To create a quote, the customer must first exist within your Supply'd account in order to create a quote.

Quotes can be placed from either the Sales page or the Customers page.
From the Sales Page
Complete the Form



Channel
Select the channel you would like to create an quote for. The pricing and sales channel will be set for this order based on the selection.
Once the order has been created with the customer this cannot be edited.



Customer
Click on or type in the Customer field, and a list of customers will appear for you to choose from.



Once these two fields have been entered, the form will expand allowing you to enter more details and select items for the order.



Add Expiry Date




Channel Number
As selected above.

Quote Number
Automatically generated by Supply'd and cannot be edited.
All quote numbers will begin with the letter “Q”, making them easy to identify and distinguish from other order types.

Customer
Selected above and cannot be edited.
At this stage the Customer field cannot be changed. If you wish to change the customer then you will need to create a new quote.

Expiry Date* [required field]
Select the expiry date for this quote by clicking the field to open a calendar and choosing the date.



Add Products to the Order
Select the products and add the desired quantities.

Product: Clicking or typing in the Product field will display a list of your products to choose from.





Qty: Add the Qty (quantity) required for the quote.

An Inventory pop-up will tell you how many units are Required, are Available and are On Hand.



Subtotals: These are automatically calculated using the product prices in Supply’d or, if applied, the customer’s specific pricing set in Customer Specific Pricing.

Repeat for any additional products needed for the quote.



Perform Additional Options
Perform any additional options as explained below in the Additional Options for Items and Additional Options for Quotes sections.

Add Shipping Details



Shipping
Select the applicable shipping from the drop-down menu.



Tax%
Any tax applied to the shipping cost. Automatically filled in based on your configured settings in Shipping Zones & Rules.

Subtotal ex Tax
The shipping cost subtotal exculding tax, calculated automatically.

Ship To
The location to ship the order to.

Order Notes
Any relevant notes for the customer regarding the order.

Click Place Order
If you would like to continue creating the quote at a later stage, simply closing the form will save the quote as
.

Once the quote is complete, click
to save the quote.
will change to
both on the list and the quote.

Although you are clicking
, the order will not actually be placed at this time, but instead saved as a quote.

From the Customers Page
You can also create a quote by going to Customers in the main menu.
Complete the Form
Complete the form as described above from step 3 onwards in creating orders From the Sales Page.

Additional Options for Items
Prior to saving the quote, once items and amounts are selected, optionally clicking the 3 dots beside an item you will have the following options:

Edit Price
Opens the Edit Price form to edit the items price.

Supply'd Price: The default price of the product set in Supply'd. Automatically entered from the product's settings.
Customer Price: The price set for the product for this customer. Automatically entered from the customer's settings. 👉 See the Customer Specific Pricing document for more information.
Discount: Optionally set a discount you will like to apply to this price. Select a discount type from the drop-down menu: either % (percentage) or $ (dollar amount). This will apply from the Customer Price if it is different to the Supply'd Price.

Tax Type: The type of tax that applies to this item, eg. GST.
Item Price ex Tax: Price of the item before GST is applied. You also can set a new price for the item here. The Item Price Inc Tax will automatically adjust.
Item Price Inc Tax: Price of the item after GST is applied. You can also set a new price for the item here. The Item Price Ex Tax will automatically adjust.
Click
to apply the new item price.
Repeat with any remaining items that you wish to edit.
Remove Item
Will remove the item from the quote. You will be asked to confirm.

Additional Options for Quotes

Prior to saving the quote, clicking the three dots on the top right-hand corner of the quote gives you the following options:
Save Quote: To save the quote. An alternative to the
button.Show Price Inc Tax: Will show prices including taxes such as GST. Will change to Show Prices Ex Tax when clicked.
Remove: Will remove the quote. You will be asked to confirm.
Managing Quotes
To manage an existing quote:
Select Sales from the main menu.
Go to the Quotes tab on the Sales page.
Click on the quote you would like to manage.
Click on the 3 dots in the top right to open the menu for all actions available on a quote:

Email Quote
Email the quote to the customer. You can include any message you would like to include to the recipient. The quote will be attached to the sent email. Click
to email the quote to the customer.

Download > Quote
Download the quote so you can save or print it.


Modify Quote
Opens the Edit Quote form. Change any details required following the guidelines above for Creating Quotes.

Modify Reason
Select a reason or enter note for the customer to understand why the modification was made.

Convert to Order
Once a customer approves a quote, it can be converted to an order. You will be asked to confirm.

Cancel Quote
Will cancel the quote. You will be asked to confirm and, once confirmed, the quote will be marked as
.

Remove
Remove the quote. You will be asked to confirm.

Bulk Actions
Selecting one or more quotes from the list and then clicking the
button will open a menu with the option to cancel those quotes.


Ticking the check box to the left of the actions button will select all standing orders in the list.
Only actual quotes can be selected; quotes that are still in draft status cannot be selected.
Order Activity
At the bottom of the form there is an Order Activity section. This lists any activity there has been on the order, such as, when the quote was created.

You also have the option to add an internal note. Simply click on the Add Internal Note button. Click Add Note to add the note to the Order Activity.

Searching & Filtering the Quotes List
With the Quotes tab selected on the Orders page, the three lines next to the three dots in the top right corner allow you to filter the Quotes list, while the magnifying glass lets you search for specific quotes.
Clicking on the magnifying glass, you can search the sales list by customer name or quote number.

Clicking the three lines opens the Filter Quotes form, where you can access the filtering options.

Quote Status
Choose one or more status options from the drop-down menu to filter the list.

Quote Date Range
Click the field to open the calendar, then select a date range to filter the list. Click
to confirm your selection.

Click
to apply your selections and filter the Quotes list.
