Bulk Importing of Customers

Bulk importing customers in Supply’d saves time, ensures accuracy, and reduces manual errors, streamlining customer management.

Bulk importing customers in Supply’d allows you to quickly add or update multiple customer records at once, saving time compared to entering them individually. This feature is especially useful for onboarding large numbers of customers, updating contact details, or applying consistent settings and pricing across groups. By using a structured spreadsheet, you can ensure that all customer information - such as names, addresses, contact details, and account settings - is accurately and efficiently uploaded into the system, helping you maintain organised records and streamline your sales and customer management processes.

There are 2 ways to add customers to Supply'd:

  1. Add customers one to Supply'd at a time.

  2. Bulk import customers to Supply'd from 3 CSV templates.

This document will take you through the steps to bulk import customers.


Bulk Import/Add Customers

Supply’d makes it easy to import large numbers of customers from a spreadsheet. To ensure accurate data import, you need to use three specific templates:

  • - Information such as the customer's name, logo, website, ABN, payment terms and methods, and sales rep.

  • - Details about the customer's location.

  • - Contact details for the customer.


Customer Data

To begin an import or download the bulk import templates:

Open the Customers Page

Select Customers from the main menu.


Customer Locations

Open the Import Locations Form

As above, on the Customers page, click on the 3 dots in the top right corner of the screen and select Import > Locations.


Customer Contacts

Open the Import Contacts Form

As above, on the Customers page, click on the 3 dots in the top right corner of the screen and select Import > Contacts.


Importing the Files

Once you've completed and saved your customer data template, you’re ready to import it into Supply’d.

Save Your File

Save your completed spreadsheet as a CSV file.

After importing, an email will be sent to your email with a report showing how many were successfully added/edited or failed. A CSV will be attached with specific details of which were added/edited or failed and why.

Open the Import Customers Form

Click on the 3 dots in the top right corner of the screen and select Import > Customer Data.

The Import Customers form will open.

Download Template

Click on the Download the Template link to get our base template, which contains sample customer details for your guidance.

The Export Customers form will open.

Select Sample Data

In the Export Customers form, select Sample Data from the Data Source drop-down menu.

If you have already started adding customers to Supply'd, selecting Supply'd from the Data Source drop-down menu will export all your existing customers in Supply'd in the template format. This is particularly useful if you want to bulk update the customer list with additional information.

Select the Fields

Select the type of data would you like to include in the export by ticking the relevant boxes.

Here we are exporting Customer Data, so that is the only box we have ticked.

Download the Template

Click to save the template to your computer.

Open the Template

  • Open the downloaded file in a spreadsheet application such as Excel or Numbers.

  • Review the sample data for formatting guidance.

Important: Remove all sample customer records before importing your own data into Supply’d

Add the Details

Fill out the template using the guidelines below:

Customer Number

A unique identification number for this customer.

Customer Number

The trading name of your customer's business.

Customer Logo

The customer's company logo.

Customer Website

The customer's company/business website address. If they don't have a website you can use a Facebook or Instagram URL.

Is Lead

Whether or not this is a lead customer (a potential customer, not yet actively ordering).

Account Number

An optional account number for this customer.

ABN

The customer's company ABN.

Groups

Any customer Groups you would like to assign to this customer

The group names should be comma separated and match the EXACT name of the group in Supply'd.

Payment Terms Duration

Enter the payment terms to apply to this customer's invoices. Leave blank to use the default terms set in your supplier settings.

Payment Term Period

Specify the term period. This will be Days or Days EOM.

Credit Limit

The credit limit for this customer.

Accept Credit Cards

Whether or not you accept credit card payments from this customer.

Accept Invoice Payments

Whether or not you accept invoice payments from this customer.

Accept COD Payments

Whether or not you accept COD (cash on delivery) payments from this customer.

Shipping Zones

Set specific Shipping Zones that are allowed for this customer. Leave blank to not restrict zones.

The zone names should be comma separated and match the EXACT name of the zone in Supply'd.

Sales Rep

Assign a sales representative to this customer.

Internal Notes

Enter any notes about this customer. These are for internal reference only and are not visible to the customer

Custom - Test

Any custom field data for this customer.

Next Call Date

The next date for a sales rep visit or call to this customer.

Purchase Order Inbox

Automatically created inbox for each customer, allowing them to send their purchase orders directly to it. This inbox can be shared with the customer to streamline order processing.

Make sure the titles are left as is and not edited to prevent issues importing.

Double-check that all required fields are filled out correctly before uploading.

The Import Customer Locations form will open.

Download Template

Click on the Download the Template link to get our base template.

The Export Customer Locations form will open.

Select Sample Data

In the Export Customer Locations form, select Sample Data from the Data Source drop-down menu.

If you have already started adding customer locations to Supply'd, selecting Supply'd from the Data Source drop-down menu will export all your existing customer locations in Supply'd in the template format. This is particularly useful if you want to bulk update the customer list with additional information.

Download the Template

Click to save the template to your computer.

Open the Template & Add the Details

Open the template and complete the fields using the guidelines below:

Customer Number

The unique identification number for this customer.

Customer Name

The trading name of your customer's business.

Id

An identifying number for this location.

Name

A name for this location.

Address

The customer's street address.

Suburb

The customer's suburb.

State

The customer's state.

Postcode

The customer's postcode.

Country

The customer's country.

Email

The customer's email address.

Is Billing

Whether or not this is the address for billing.

Is Shipping

Whether or not this is the address for shipping.

Next Call Date

The next date for a sales rep visit or call to this customer.

The Import Customer Contacts form will open.

Download Template

Click on the Download the Template link to get our base template.

The Export Customer Contacts form will open.

Select Sample Data

In the Export Customer Locations form, select Sample Data from the Data Source drop-down menu.

If you have already started adding customer contacts to Supply'd, selecting Supply'd from the Data Source drop-down menu will export all your existing customer contacts in Supply'd in the template format. This is particularly useful if you want to bulk update the customer list with additional information.

Open the Template & Add the Details

Open the template and complete the fields using the guidelines below:

Contact Id

An identifying number for this contact.

Customer Number

The unique identification number for this customer.

Customer Name

The trading name of your customer's business.

First Name

The first name of a representative/contact for the customer's business/company.

Last Name

The last name/surname of a representative/contact for the customer's business/company.

Role

The role of this contact within the company, eg. accounts, owner, buyer etc.

Email

A contact email for the customer.

Phone

A phone number for the contact.

Mobile

A mobile phone number for the contact.

Mobile Area

The country calling code, eg. +61 for Australia.

Locations

The locations this contact is responsible for.

Notifications

The type of notifications sent to this contact:

  • Order Emails

  • Invoice Emails

  • Recall SMS

  • Delivery SMS

Internal Notes

Any notes about this contact. For internal reference only. This is not visible to customers.

Open the Import Customers Form

On the Customers page, click on the 3 dots in the top right corner and select Import > Customers.

The Import Customers form will open.

Select the File

Click on Choose File to select the file from your computer.

Update Existing Customers

If you exported existing customers in the steps above and have made updates to their information, selecting Yes from the Update Existing Customers drop-down menu will apply those changes to their records in Supply’d.

Upload Your File

Click to begin the upload process.

Repeat

Repeat the steps above to import the Locations and Contacts files.
