Bulk Importing of Customers (Supply'd Hub)

Bulk importing customers into Supply’d Hub allows you to quickly add multiple customer records at once, saving time, reducing manual entry, & helping keep your customer database accurate & up to date.

Bulk importing customers in Supply’d Hub provides a fast and efficient way to add multiple customer records at once. By using a spreadsheet template, you can upload customer details in bulk rather than creating each customer individually. This saves time, reduces manual data entry, and helps ensure your customer information remains accurate, consistent, and up to date.

There are 2 ways to add customers to Supply'd:

  1. Add customers one to Supply'd at a time.

  2. Bulk import customers to Supply'd from 3 CSV templates.

This document will take you through the steps to bulk import customers.


Bulk Import/Add Customers

Supply’d makes it easy to import large numbers of customers from a spreadsheet. To ensure accurate data import, you need to use three specific templates:

  • Customers - Information such as the customer's name, logo, website, ABN, payment terms and methods, and sales rep.

  • Locations - Details about the customer's location.

  • Contacts - Contact details for the customer.

Open the Customers Page

Select Customers from the main menu.

Open the Import Customers Form

Click on the 3 dots in the top right of the page and select Import > Customers.

The Import Customers form will open.

Download Template

Click on the Download the template link to get our base template, which contains sample customer details for your guidance.

The Export Customers form will open.

Select Sample Data

In the Export Customers form, select Sample Data from the Data Source drop-down menu.

Select the Fields

Select the type of data would you like to include in the export by ticking the relevant boxes.

The more selections you make in the Fields section, the more data fields will be included in the spreadsheet. For clarity, we will break these down into sections in the next steps. However, the order of fields on the spreadsheet may vary slightly, as some selections share the same fields, such as Customer Name.

Download the Template

Click to save the template to your computer.

Complete the Template

Open the template in a spreadsheet application, such as Excel or Numbers, and fill in the required information, using the downloaded data as a guide.

Complete the template by following the instructions provided in each tab - Customers, Locations and Contacts. Make sure to click through all the tabs for each set of details you want to import, as each tab contains specific fields and examples needed to complete the template correctly.

Customers

Customer Number

A unique identification number for this customer. Leave blank for new customers.

Customer Name

Enter the trading name of your customer's business.

Customer Logo

Add the customer's company logo.

Customer Website

Enter the customer's company/business website address. If they don't have a website you can use a Facebook or Instagram URL.

Is Lead

Whether or not this is a lead customer (a potential customer, not yet actively ordering). Enter "Yes" or "No".

Account Number

Add an optional account number for this customer.

ABN

Enter the customer's company ABN.

Payment Terms Duration

Enter the payment terms to apply to this customer's invoices. Leave blank to use the default terms set in your Customer Settings (Supply'd Hub).

Payment Term Period

Specify the term period, either:

  • Days

  • Days EOM (End of Month)

  • Days EOW (End of Week)

  • Pre-Paid

Credit Limit

The credit limit for this customer.

Accept Credit Cards

Whether or not you accept credit card payments from this customer. Enter "Yes" or "No".

Accept Invoice Payments

Whether or not you accept invoice payments from this customer.

Accept COD Payments

Whether or not you accept COD (cash on delivery) payments from this customer.

Shipping Zones

Ignore. This field applies to functionality available in Supply’d ERP and is not used in Supply’d Hub.

Sales Rep

Ignore. This field applies to functionality available in Supply’d ERP and is not used in Supply’d Hub.

Internal Notes

Enter any notes about this customer. These are for internal reference only and are not visible to the customer

Next Call Date

Ignore. This field applies to functionality available in Supply’d ERP and is not used in Supply’d Hub.

Purchase Order Inbox

Ignore. This field applies to functionality available in Supply’d ERP and is not used in Supply’d Hub.


Importing the Files

Once you've completed and saved your customer data template, you’re ready to import it into Supply’d.

Save Your File

Save/export your completed spreadsheet as a CSV file.

Open the Import Customers Form

On the Customers page, click on the 3 dots in the top right corner and select Import > Customers.

The Import Customers form will open.

Select the File

Click on Choose File to select the file from your computer.

Update Existing Customers

If you exported existing customers in the steps above and have made updates to their information, selecting Yes from the Update Existing Customers menu will apply those changes to their records in Supply’d.

Upload Your File

Click to begin the upload process.
