# Performing Tasks (Scanner)

In Supply’d, using tasks with a scanner makes managing daily operations faster, easier, and more accurate. Staff can view, update, and complete tasks directly from the scanner, ensuring real-time tracking and reducing the risk of errors. This feature is especially useful for busy environments, helping teams stay organised, accountable, and efficient.

Tasks can be viewed and completed within the Supply’d app or using a Supply’d handheld scanner.

This document will guide you through the process of viewing and performing tasks using a handheld Supply’d scanner.

### Viewing & Performing Tasks

#### Go to the Main Menu

Go to the main menu on the scanner and click on **Home**.

#### Click on My Tasks

Click on **My Tasks** to view a list of your upcoming tasks.

Depending on how the **Home** page is set up, if **My Tasks** is the first option, it will be the page that appears when you open the **Home** screen.

Supply’d uses colour-coded statuses for easy identification.&#x20;

The statuses in **Tasks** are:

* <img src="/files/9MzzuX3jaFunSHMZ1f18" alt="" data-size="line"> - The task is yet to be started.
* <img src="/files/eX90IzflvfAkzHfHr52Y" alt="" data-size="line"> - The task has been started but not yet completed.
* <img src="/files/qgnycRTdqN3Nh3Mm3qoH" alt="" data-size="line"> - The task has been finished.<br>

You will see a list of all tasks that are:

* Allocated specifically to you (your name will show as the User),
* Allocated to your department (if no specific user or location is assigned),
* Allocated to your location (if no specific user or department is assigned), or
* Not allocated to any user, department, or location.

If a user is not restricted by location or department in their [Users](/supplyd-erp/settings/users.md) settings, they will see all available tasks except those assigned to specific users.

Tasks are generally listed in the order they should be performed. If **Task Groups** are used, tasks will be grouped accordingly. In this example, the groups are "Morning" and "Afternoon".

A **Task Group** is a collection of related tasks, usually organised by team or type of work, to help manage and track them more efficiently.

You can view tasks for a different date by clicking on the date field and selecting the desired date.

#### Select the Task

Select the task you want to perform.&#x20;

The details of that task will open.&#x20;

Once the task has been opened the status will change from <img src="/files/9MzzuX3jaFunSHMZ1f18" alt="" data-size="line"> to <img src="/files/dXmE0zjNJhZGL1qjFpNc" alt="" data-size="line"> and a background timer will record how long the task takes to complete.

Depending on how tasks have been allocated, you may see:

* **Task# :** The unique identifier assigned to the task.
* **Name:** The name or title of the task.
* **Date:** The date the task is to be performed.
* **Group:** The team, or **Task Group**, responsible for the task. This will only appear if the task has been allocated to a **Task Group**.
* **Location:** The location the task is assigned to. This will only show if the task has been allocated to a location.
* **Department:** The specific department associated with the task. This will only appear if the business uses [Locations](/supplyd-erp/settings/locations.md#departments) and the task has been allocated to a department.
* **User:** This will show if the task has been allocated specifically to you. Your name will appear here.

The fields you see will depend on whether the tasks have been allocated to specific **Groups**, **Locations**, **Departments**, or **Users**.

**Task Details**

* **Description:** A more detailed explanation of the task’s purpose, requirements, or instructions.
* **Notes:** This is where you can add any additional comments, observations, or updates while completing the task.

**Description - Custom Fields**

In the **Details** section, you may notice that some tasks include additional fields that need to be completed. These are custom fields and are specific to each individual task. They may be a text field, drop-down menu, temperature, money, date, or time.

In our example above, for the task of checking fridge temperatures, there are additional fields for recording the temperature of each fridge and freezer. The setup is configured to record temperatures, so you only need to enter the numerical value - the degrees ° are added automatically.<br>

These fields may also be a required field, meaning that they must be completed before the task can be finalised.\ <br>

If you try to finalise a task with required fields incomplete, you will be prompted to complete them and will not be able to finalise the task. This is particularly important when tasks are part of compliance requirements.\

#### Additional Options

Clicking on the 3 dots in the top right will open a menu with additional options for the task.

**Marks As**

* **To Do:** Will mark the task as <img src="/files/9MzzuX3jaFunSHMZ1f18" alt="" data-size="line">. This is useful, for example, if you are interrupted before starting the task. The timer will reset.

**Save Task**

This option saves the progress of the task so it can be resumed later before finalising. When you return to the task, or if someone else takes over, the timer will continue from where it left off.

If you select a task that was started by another person, a warning will be displayed.\ <br>

#### Click Finalise

Once the task has been completed click <img src="/files/hag3MqEem5lP71lPqflF" alt="" data-size="line">.
