# Creating a Delivery
With the optional Delivery module, Supply'd can help you make sure deliveries run smoothly and customers get their orders on time.
Creating deliveries in the optional Delivery module in Supply’d allows you to efficiently plan, organise, and manage the movement of orders to your customers. By setting up deliveries within the system, you can assign orders, allocate vehicles and drivers, schedule routes, and track each delivery from start to finish. This helps reduce errors, improve customer service, and ensures your team has a clear, streamlined process for getting orders out on time.

**Deliveries and Delivery Runs**
A **Delivery** can contain one or more **Delivery Runs**, allowing you to manage multiple vehicles and routes for the same delivery date.\
**Delivery vs Delivery Run**
* A **Delivery** represents the overall delivery for a specific date and contains all the orders that need to be delivered that day.
* A **Delivery Run** represents an individual vehicle and route used to complete the delivery. The number of runs depends on the number of vehicles being used. For example, if you are using **2 vehicles** for the delivery, the delivery will have **2 delivery runs**.
Orders are automatically allocated to the appropriate delivery runs when you **Optimise the Route**.\

**Note:** Once you **optimise the route**, the number of active delivery runs may be reduced based on the order volume. For example, if one run can handle all orders, a second run will not be needed.

## The Deliveries Page
Selecting **Deliveries** from the main menu opens the **Deliveries** page, which lists all deliveries you have created.
* The **Up Next** tab shows upcoming deliveries.
* The **Completed** tab shows deliveries that have already been completed.
This is also create where you create a new delivery.

Each delivery’s status is colour-coded for quick and easy identification.
* - The delivery has been created but is still in setup mode. Orders, vehicles, or drivers may not yet be assigned.
* - The delivery run has been created but not yet started. Orders are assigned and waiting to be dispatched.
* - The delivery run is currently underway. Orders are being delivered, and progress is actively tracked.
* - The delivery run is finished. All orders have been delivered or marked according to their final outcome. Any completed deliveries will appear under the **Completed** tab.

## Creating the Delivery

Before creating a **Delivery**, you should have added your vehicles and applied their details in your **Delivery Settings**.

#### Go to the Delivery Page
Select **Deliveries** from the main menu. The **Deliveries** page will open, listing all upcoming and in-progress deliveries.

#### Click Add+
Click on **Add +** in the top right corner.
The **Create Delivery Run** form will open

To open or close the sections on this form click the little arrows to the right of the titles (as circled in red above).

Complete the sections as per the guidelines below:

#### Delivery Details
**Delivery Date & Start Time\* \[required field]**
Select the delivery start date and time from the calendar and clock that will show when you click on the field. Click to set the date and time.
**Maximum Delivery Time (Hours)\* \[required field]**
Enter the maximum time allowed for each delivery.
**Location\* \[required field]**
Select the location this vehicle is used from your list of [Locations](/supplyd-erp/settings/locations.md) in the drop-down menu.
**Vehicle\* \[required field]**
Select one or more vehicles for the delivery. Click the field to view and choose from your vehicle list.

#### Order Allocation
This section defines how orders are allocated to this delivery.
**Allocate Orders**
Choose how orders should be allocated to this delivery.
* **Auto-assign:** Have orders automatically assigned based your chosen criteria.
* **Manually:** Manually assign orders to the delivery after it has been created.
**Order Selection**
Choose how you’d like orders to be allocated to this delivery.
* **Picked Orders:** Assign all orders that have been picked but not yet delivered.
* **Unfulfilled Orders:** Assign all orders that have not yet been fulfilled.
**Include Shipping Zones**
When filtering by Shipping Zones, select whether to include or exclude them.
* **Include:** Include the list of shipping zones related orders.
* **Exclude:** Exclude the list of shipping zones related orders.
**Shipping Zones**
Select the [Shipping Settings](/supplyd-erp/settings/shipping-settings.md#shipping-zones) to include or exclude orders allocated to these zones for the delivery.
Leave blank for all shipping zones.
**Include Shipping Rules**
When filtering by **Shipping Rules**, select whether you would like to include or exclude them.
* **Include:** Include the list of shipping rules related orders.
* **Exclude:** Exclude the list of shipping rules related orders.
**Shipping Rules**
Select the [Shipping Settings](/supplyd-erp/settings/shipping-settings.md#shipping-rules) to include or exclude orders allocated to these rules for the delivery.
Leave blank for all shipping rules.
**Delivery Dates**
Select the delivery dates to assign to this delivery run.
Leave blank for all delivery dates.
Click to set the dates.
**Order Limit**
Enter a limit for the number of orders automatically allocated to the delivery. Maximum 2,000 orders.

Click to finish creating the **Delivery**.

## Editing & Adding Delivery Runs
A delivery may consist of multiple **Delivery Runs**, using multiple vehicles and drivers. Once the delivery is set up and orders are assigned, you can optionally edit runs to assign one or more drivers, change the vehicle for each delivery run, and update the start and end locations or add runs.

If **Auto-Assign** was selected under **Allocate Orders** when creating the delivery (see step 4 above) orders will be auto-assigned in the background. You may navigate away from the page, or refresh to see if they have finished being assigned.

#### Select the Delivery
After clicking , the delivery details will appear. If not, select the delivery from the **Deliveries** list.

#### Go to the Runs Tab
Go to the **Runs** tab. Here you’ll see the runs created for this delivery, including the **Run Number**, delivery **Date**, assigned **Vehicle** and **Driver**, and how many orders have been **Delivered** (which will be 0 at this stage).

#### Select Edit Run or Click Add+
#### Editing Runs
To edit an existing run, click on the run to open its details. Then, click the 3 dots in the top right and select **Edit Run** from the menu.
The **Edit Delivery Run** form will open and you can make changes by following the steps outlined below.
#### Adding Runs
If you would like to add a run to a delivery, click **Add +** in the top right.
The **Add Delivery Run** form will open.
The fields are identical in both the **Add Delivery Run** and **Edit Delivery Run** forms.
Complete/update the fields in each section as outlined below:

#### Delivery Run Details
**Vehicle\* \[required field]**
The vehicle used for this delivery run.

This is initially set when creating the run but can be updated if needed. If changing to a smaller vehicle please beware of capacity differences before changing the vehicle.

**Driver**
Select the delivery driver for this **Delivery Run**.

If the driver doesn't exist in Supply'd, you will need to add them as a **User**. The [Users](/supplyd-erp/settings/users.md) document explains how to do this. Select **Delivery Driver** as the **Account Type**. This user type will gain access to the **Delivery Runs** they are assigned to.
**It’s important to assign a driver, or update the assignment if a new driver takes over, because unassigned runs won’t appear on drivers’ scanners.**

**Start Time\* \[required field]**
Enter the start time of this delivery run in 24 hour time format (HH:MM). The run must be performed within the overall delivery hours set for the main delivery.

**Note:** You can only change the start time of an individual delivery run if the new time falls within the main **Delivery Time** window. If you need the run to start outside of this window, you must first edit the **Delivery Time** for the delivery. Once the delivery time has been updated, you may need to remove and re-add your orders so they can be scheduled within the new delivery window before adjusting the run's start time.\
\
**Note:** The delivery run date cannot be changed here. If you need to change the date, update the **Delivery Date** instead, which will update the date for all delivery runs. (👉 See [#delivery-details](#delivery-details "mention") above.)

**Maximum Delivery Time\* \[required field]**
Enter the maximum delivery time for this delivery run in hours. The run must be finished within the overall delivery hours set for the main delivery.

#### Start Location
Select the start location for the delivery run from the list of your [Locations](/supplyd-erp/settings/locations.md) or choose **Custom Address**.
If the **Start Location** is different from your list of locations (for example, if a driver wants to start their run at home), you can select **Custom Address**. When this option is chosen, additional address fields will appear for you to enter the details.

Select the **End Location** for the delivery run from the list of your locations, or choose **Custom Address** (as shown above for the **Start Location**).

Click to apply your changes.

## Assigning Orders to a Delivery
Supply'd will auto-assign deliveries based on certain **Shipping Zones**, **Order Status, Delivery Dates** etc. You can also manually assign orders.

You can select whether to **Auto-Assign** or **Manually** assign orders when [#creating-the-delivery](#creating-the-delivery "mention") as explained above.

When **Auto-Assign** is selected, the orders will automatically be assigned. If you would like to add any orders you can follow the instructions below for manually adding orders.

At this step, you are only gathering the orders for the delivery. Orders are not assigned to a specific delivery run yet. Supply’d will automatically assign orders to runs after you **Optimise the Route**.

### Manually Assigning Orders
To manually assign orders to a delivery:

#### Go to the Orders Tab
After creating the delivery and making any necessary edits to runs, go to the **Orders** tab.

Click on or **Assign +** in the top right.

#### Select the Orders
Check the box next to each order you want to to include in the delivery.

Clicking the 3 dots in the top right opens a menu with 2 options
* **Refresh:** Updates the page to show the latest information.
* **Toggle Full Screen:** Expands the page to full-screen view, providing more space to view data without distractions.

#### Click Assign
Click to add the orders to the delivery.
The orders will now appear on the list under the **Orders** tab.

### Adding a Custom Stop
**Add Custom Stop** allows you to add an additional delivery location to a delivery run that isn't linked to a customer order.

Custom stops are useful when your driver needs to make a non-standard stop during their route, such as:
* Picking up stock from a supplier or warehouse.
* Delivering items to an internal location or another branch.
* Making a scheduled collection or drop-off that isn't associated with a sales order.
* Stopping for a service or maintenance visit.

To add a **Custom Stop**, click on the 3 dots in the top right and select **Add Custom Stop**.
The **Add Custom Stop** form will open.
Complete the form as follows:

#### Delivery Notes
Use the **Delivery Notes** section to enter any information that will help the driver complete the stop. This may include delivery instructions, contact details, gate or access codes, loading dock information, or any other special requirements. These notes are displayed to the driver when completing the delivery.

#### Delivery Address
The **Delivery Address** section is where you specify the location of the custom stop. Enter the full address to ensure the stop is accurately positioned on the delivery route and can be used for route optimisation and navigation. Verify the address is correct before saving the stop.

#### Delivery Window
The **Delivery Window** section allows you to define the preferred time period for the stop to be completed. Setting a delivery window helps drivers prioritise time-sensitive stops and assists route planning by ensuring deliveries are scheduled within the required timeframe. If no delivery window is specified, the stop can be completed at any time during the delivery run.

Click to add the stop to the delivery.

You can add a **Custom Stop** to your route either **before** or **after** optimising it.\
* **Before Optimising:** Add any custom stops you require, then optimise the route to include them in the optimisation.
* **After Optimising:** You can still add a custom stop to an already optimised route. However, because the route has changed, you will need to re-optimise the route to ensure the stop is included in the most efficient route.\
**Note:** Adding a custom stop after optimisation does not automatically recalculate the route. Remember to re-optimise the route to achieve the best route sequence.

## Optimising the Route
Once you’re satisfied with the delivery runs and the assigned orders, you can optimise the delivery route.
Route optimising is the process of planning and arranging delivery stops in the most efficient order to save time, reduce fuel costs, and improve overall delivery speed. In Supply’d, route optimising helps streamline delivery operations by using **Supply'd Intelligence** to automatically calculate the best sequence of customer stops based on factors like distance, traffic, and delivery priorities.
To optimise the delivery, click on the 3 dots in the top right and select **Optimise Route** from the menu.

**Supply'd Intelligence** will do all the hard work for you.
Once you **Optimise the Route**, Supply’d automatically allocates the orders to the appropriate delivery runs. The delivery's status will update from to .

#### Updating a Scheduled Delivery Run
If you have already optimised and scheduled a delivery run but need to make changes, such as adding more orders, you can update the existing run and optimise it again.
* To add more orders to an existing scheduled run, select **Assign +** from the **Orders** tab and add the additional orders.
* Once the new orders have been added, select **Optimise Route** again. Supply’d will recalculate the route and include the newly assigned orders.\
**If a Scheduled Delivery Run Is Deleted**
If you delete a scheduled delivery run, the orders associated with the run are not deleted. They will remain on the delivery with their status and can be reassigned to a new run.
To reassign them:
1. Create a new **Delivery Run** within the existing delivery. The new run will begin with a status.
2. Go to the **Orders** tab. The previously scheduled orders will already be listed and do not need to be added again.
3. If you need to add any additional orders, select **Assign +** and add them to the delivery.
4. Select **Optimise Route** to recalculate the route and assign the orders to the new delivery run.\
**If a Scheduled Delivery Is Deleted**
If you delete the entire scheduled delivery, rather than just an individual run, create a new **Delivery** and set up a new **Delivery Run**. Use **Assign +** to assign the required orders to the new delivery, including any previously scheduled and additional orders, then select **Optimise Route** to calculate the route and assign the orders to the new run.

You can make changes to the delivery before it begins, including adding or removing orders, adding custom stops, updating delivery details, and re-optimising the route as required. Once the delivery is marked as , it can no longer be modified.
