# Customer Credits
Managing Customer Credits helps you accurately track credits issued and used, maintain up-to-date customer accounts, and ensure credits are applied correctly.
**Customer Credits** allow you to manage credit amounts applied to customer accounts in Supply’d. Keeping credits organised helps ensure adjustments and other account credits are accurately recorded and applied to the correct customer.
This document explains how to view, add and manage **Customer Credits** in Supply’d.

## The Customer Credits Tab
The **Credits** tab on a customer’s page lists the credits associated with the customer, providing a central location to view and manage customer credits and related information.
To view a customer's credits:
1. Select **Customers** from the main menu
2. Select a customer to open their details.
3. Go to the **Credits** tab.

Customer Credits have colour-coded statuses for easy identification:
* - The customer credit is active and available to be applied to a future order.
* - The customer credit has been applied to a transaction and is no longer available for use.

Click on a credit to open and view its details.

## Adding a Credit

#### Click Add+
Click the button (for the first credit only), or **Add +** in the top right.

The button will only show when there has been no credits added. For any further entries use Add+.

The **Add Customer Credit** form will open.
Complete the sections as follows:

#### Credit Details
**Credit Amount\* \[required field]**
The amount you wish to allocate as credit to the customer.
**Location**
Select the location this credit is applicable for, if any.
Credits can be allocated to a specific location. When an order is placed for that location, the credit will be automatically applied. If no location is selected, the credit will be used as a general credit for the customer’s next order.

This field will only show if the customer has more than one location.

**Notes\* \[required field]**
Add any details about what this credit is for. This will be used for you to reference the credit and will also be visible to the customer.
**Notify Customer**
Choose whether or not to notify the customer via email of the credit being applied.

#### Credit Expiry
**Set Expiry**
Choose whether or not this credit should have a set expiry.
When **Yes** is selected, an additional field - **Expiry Date** - will appear.
**Expiry Date**
Select the date you wish for this credit to expire.

Credits will be automatically applied to the customer’s next order, based on the expiry settings.

#### Click Save
Click to apply this credit. The credit will then show on the **Credits** list for this customer.

**GST and Accounting**
**GST** - Credits are entered as the total amount **including GST**. When a credit is applied to an order, the GST component is calculated proportionally based on the taxable items in the order. For example, a **$100 credit including GST** may appear as a **$90.91 ex-GST credit**, with the remaining **$9.09** reducing the GST amount on the order.\
**Accounting Systems** - Credits are applied to invoices in Supply’d **before the invoice is sent to a connected accounting system**, such as Xero. The credit is automatically applied to the customer’s next eligible order, and only the resulting invoice total is synced to the accounting system. A separate credit note is not created in Xero.\
**In short:** Supply’d treats the credit as an amount that is automatically applied to the customer’s next eligible order. The accounting system receives the final invoice after the credit has been applied.

### Downloading a Credit Summary
A **Customer Credit Summary** provides a record of the credit issued to the customer, including the credit amount, any amounts already used, customer details, reason for the credit, and relevant transaction information. It provides a clear reference for the credit that you can download, view, save, print, or share.

Select the customer whose **Credit Summary** you would like to download:
1. Select **Customers** from the main menu.
2. Select the customer.

Select the **Credit** you would like to download a summary for:
1. Go to the **Credit** tab.
2. Select the **Credit**.

Click the 3 dots on the top right and select **Download**, then **Credit Summary**.
The **Credit Summary** will be generated.

### Editing a Credit

Select the customer whose **Credit** you would like to edit:
1. Select **Customers** from the main menu.
2. Select the customer.

Select the **Credit** you would like to edit:
1. Go to the **Credit** tab.
2. Select the credit.

Click the 3 dots on the top right and select **Edit Credit.**
The **Edit Customer Credit** form will open.

Change any required details for the **Credit**, following the guidelines for [#adding-a-credit](#adding-a-credit "mention") above.

### Removing a Credit

Select the customer whose **Credit** you would like to remove:
1. Select **Customers** from the main menu.
2. Select the customer.

Select the **Credit** you would like to remove:
1. Go to the **Credit** tab.
2. Select the **Credit**.

Click the 3 dots on the top right and select **Remove Credit.**
You will be asked to confirm.
